Policies & Procedures
We believe in keeping things simple, transparent, and easy to work with. The policies below are designed to help ensure a smooth, stress-free experience for both you and your guests.
📅 Booking & Confirmation
Events are reserved on a first-come, first-served basis and are not considered confirmed until written approval, acceptance of an estimate, or other official confirmation is received.
Availability may change until your event is officially secured.
🎉 Event Types & Minimums
We offer flexible event structures depending on your needs:

Hosted Events — The host covers all items served

Guest-Paid Events — Guests purchase items individually
-
Hybrid Events — A combination of host-paid and guest-paid service
Our No Minimums policy applies exclusively to fully hosted events.
Guest-paid and hybrid events may require minimum sales or service thresholds, which will always be clearly communicated in advance.
⏱️ Service Time
Each event includes a reserved service window based on your agreement.
Additional service time may be available upon request and is subject to staffing and scheduling availability. Extended service may incur additional fees.
Delays in setup, venue access, or event readiness may reduce available service time.
📍 Setup & Access
To ensure safe and efficient service, the host is responsible for providing:

Clear and timely access to the service area

A flat, stable setup surface

Adequate space for safe operation
Restricted access, delayed entry, or unsafe conditions may impact service.
⚡ Power & Site Requirements
If your event requires power access or special accommodations, these details must be arranged in advance. Please communicate any site restrictions, parking limitations, or venue requirements ahead of time so we can prepare accordingly.
🚗 Travel & Service Area
We proudly serve Northern Virginia, Washington DC, Maryland, and surrounding areas.
Events outside of our standard service range may include a travel fee, which will always be outlined in your quote ahead of time.
🌦️ Weather Policy
As a mobile business, weather conditions can impact our ability to safely operate.
In cases of severe or unsafe weather, we will do our best to reschedule or adjust plans where possible. Refunds or credits for weather-related cancellations or interruptions may be provided depending on the severity of conditions and the circumstances surrounding the event.
Safety for our staff, guests, and equipment will always remain our top priority.
👥 Guest Counts
Guest counts are treated as estimates.
For hosted events, you only pay for what is actually served, meaning your final total may vary based on attendance and guest participation.
💳 Payment Terms
Payment is due at the conclusion of service unless otherwise arranged in advance.
Accepted payment methods will be outlined in your quote or invoice.
🍦 Product Availability
We strive to bring a wide variety of flavors and menu options to every event.
While we make every effort to fulfill all requests, occasional substitutions may be necessary based on product availability. Any substitutions will always meet our quality standards.
🔄 Changes & Modifications
We understand that event details can evolve.
Please communicate any changes as early as possible. Last-minute modifications may not always be possible depending on scheduling, staffing, inventory, or logistics.
🚫 Conduct & Right to Refuse Service
We reserve the right to suspend or refuse service in the event of unsafe, inappropriate, or disruptive conditions that may impact our staff, equipment, guests, or ability to safely operate.
🔁 Cancellation Policy
Because each event requires scheduling, staffing, and preparation, the following cancellation policy applies:

7+ days before the event: No cancellation fee

3–6 days before the event: A cancellation fee of $125 may apply

Within 72 hours of the event: A cancellation fee of $250 may apply
If any prepaid service fees, staffing expenses, or special-order items have already been committed, those costs may also be non-refundable.
We always strive to be fair and reasonable and will do our best to work with you whenever possible.
📍 Day-Of Event Conditions
If The Inside Scoop arrives as scheduled but is unable to fully or partially provide service due to circumstances outside of our control, service fees are non-refundable.
This may include situations such as:

Delayed or denied venue access

Insufficient setup space
-
Unsafe operating conditions

Venue restrictions or last-minute rule changes

Missing power or site accommodations previously discussed

Significant event timeline delays

Failure to communicate important event details
